What information we collect
- Enquiry details you give us through our website form, by email or by phone: your name, company, job title, email address, phone number, the site address and contact, and details of the work you need, including any preferred dates.
- Details you give us through the chat assistant on our website: the answers you type in, such as your name, company, contact details, site address and details of the work you need. Our website provider runs the chat assistant for us, and it sends your answers to us by email so we can reply to your enquiry and prepare a quotation.
- Quotation, contract and job records: the quotation, your instruction, site and pipeline details, commissioning and pressure test data, sample results and certificates, and our invoices and payment records.
- Technical information about how you use our website, such as your device, browser and the pages you visit, collected through cookies and similar technologies.
How we use your information, and why
- To reply to your enquiry and prepare a quotation. We do this because you have asked us to, or to take steps at your request before entering a contract.
- To carry out the work, issue certificates and reports, and look after our contract with you. We do this because it is necessary to perform our contract with you.
- To keep accounting, tax and health and safety records. We do this because the law requires it.
- To run and improve our business and website, and to measure our advertising. We do this because it is in our legitimate interests, and where the law requires it, with your consent.
We do not sell your personal information, and we do not use it to make automated decisions about you.
Who we share it with
We share your information only where needed to carry out the work or run our business, or where the law requires it. This can include:
- Laboratories that analyse water samples.
- Subcontractors we appoint to carry out all or part of the work.
- Water companies and site owners or managers, where needed for the work, for example for connections, permits and certificates.
- Our IT, email, website hosting and software providers, who handle information on our behalf.
- Google, if you accept advertising cookies on our website. Google then receives information about your visit, such as the pages you view, your device and browser, and whether you came to us from one of our Google adverts, so we can see how well our advertising works. Google handles this information under its own privacy policy. If you decline, nothing about your visit is sent to Google.
- Our professional advisers, insurers and, where required, regulators and law enforcement.
Cookies and similar technologies
Our website may use cookies and similar technologies from Google to help us understand how visitors find and use the site, and to measure how well our advertising works. Where the law requires your consent, we will ask for it and you can change your choice at any time. You can also block or delete cookies in your browser settings.
How long we keep it
- Enquiries that do not lead to work: up to two years.
- Quotations, contracts, job records, certificates and financial records: for six years after the end of the contract, or longer where the law requires it.
When we no longer need the information, we delete it or make it anonymous.
How we protect it
We keep your information secure and limit who can see it to the people who need it to do their job. Our service providers must also protect it.
Your rights
You have the right to ask us for a copy of your personal information, to correct it, to ask us to delete it or restrict how we use it, to object to our use of it, and to ask for it in a portable format. In some cases these rights have limits. To use any of them, contact us at info@mains-chlorination.co.uk.
